What this page helps you do

Lay out an invoice with VAT labels, party tax-number fields and a breakdown of the rates you enter. This makes the chosen inclusive or exclusive tax calculation visible for review alongside the line items.

How to use the result

Use the transaction's applicable rates and enter registration details from your records. Confirm whether the agreed prices already include VAT before exporting, since that setting changes the net and tax amounts.

Before you rely on it

  • Check tax numbers, invoice identifiers, dates and any fields required for this transaction.
  • Reconcile the net amount, tax by rate and grand total with your accounting method.

Limit to keep in mind: The tool does not certify compliance or provide a dedicated reverse-charge mode; a 0% line is not a substitute. It also does not calculate the separate sterling VAT required for UK invoices in another currency. Check official rules for your transaction.

Use the official rules for the invoice you need

Required details depend on the country, transaction and invoice type. The UK reference below is HMRC VAT Notice 700/21, section 4, which covers full VAT invoice details such as identifiers, issue and supply dates, parties, descriptions, quantities, prices and VAT information. Simplified and special-scheme invoices have different conditions.

The generator provides common fields, not a compliance certificate or every special tax treatment. In particular, it does not calculate the separate sterling VAT amount required for a UK VAT invoice issued in another currency. Use a suitable invoicing system when that information or another unsupported treatment is necessary.

Reconcile rates and rounding with your records

Calculations take place per line, with rounding at the line-extension, allocated-discount and tax stages using the selected currency's precision. Rounding tax once on the whole invoice can produce a different amount.

HMRC VAT Notice 700, sections 17.5 and 17.6, describes rounding methods under particular conditions. Check that the selected approach fits your accounting method. Currency selection changes precision, not exchange value.

Review mixed-rate totals

Each line can carry its own rate, and the summary separates net and VAT amounts by the entered rates. Verify the classification of each supply; a zero-rated line is not interchangeable with exemption or reverse charge.

For example, use £100 net at an illustrative 20%, giving £20 tax, plus a separate £40 line at 0%. The total is £160. These are example rates for explaining the calculation, not advice about the rate on your sale.

Match inclusive prices to the agreement

Look for explicit wording such as including VAT or plus VAT in the agreement or price list. Do not decide the mode solely from whether the customer is a business or consumer.

At an illustrative 20% rate, £100 exclusive produces a £120 total. A £100 inclusive price already contains £16.67 tax. Check the changed breakdown when switching between the two modes.

Frequently asked questions

Does completing the form make an invoice compliant?
No. The form arranges the details and tax settings you supply. Check registration, rates, required wording, special schemes and the downloaded document against the official requirements for your transaction.
Where can I check the UK invoice details?
The official references below include HMRC VAT Notice 700/21 section 4 for detailed VAT invoice requirements and VAT Notice 700 for calculation and rounding. Check the invoice type and transaction conditions rather than assuming one field list covers every sale.
Can I use different VAT rates on one invoice?
Yes. Enter a rate on each line and review the summary by rate. The tool performs the arithmetic but does not determine the correct classification of a supply.
Does it support reverse-charge invoices?
There is no dedicated reverse-charge mode. A 0% line is not a substitute. For example, the linked UK construction guidance requires the applicable VAT amount or rate without adding that VAT to the amount charged; use a system that supports the required treatment and wording.
Can I use a currency other than sterling?
The form offers the currency selection, but does not perform exchange conversion or calculate a separate sterling VAT equivalent. A UK VAT invoice in another currency still has that separate VAT requirement, so use appropriate software where needed.
Are the invoice fields uploaded?
The fields and generated PDF are processed locally. Draft fields can return during this browser tab's session, and numbering can persist separately. Retain the issued PDF yourself and clear browser storage after using a shared device.
